FREE HVAC BUYER GUIDE

How to choose HVAC business software.

The best HVAC software for your company is the system that handles your actual jobs, staff, and customers. Use this practical buying guide to ask better questions before signing.

Begin with three jobs

Write a short version of each job using invented customer details. For a no-cooling call, include an equipment record and a prior visit. For maintenance, include several units at one property. For installation, include an accepted estimate and a return visit. Ask each vendor to follow the same examples so you can compare the handoffs fairly.

Use an evidence worksheet

Score each task as demonstrated, partly demonstrated, unavailable, or untested. Record the plan, device, date, and any extra charge. A roadmap answer stays untested until the workflow can be shown. Do not average away a missing requirement that is essential to your business.

Include the office and the field

Have a dispatcher and a technician complete their part on the devices they actually use. Test weak connectivity rather than assuming offline support. Ask who can view pricing, change an appointment, revise equipment details, or export customer information. Record errors and the steps needed to correct them.

Plan the change before selecting a date

Inventory customer, site, unit, membership, open estimate, and balance records. Choose who will reconcile the sample import and train each role. Request written terms for seats, setup, messaging, payments, exports, and cancellation. This worksheet evaluates vendors; it does not establish that ServiceCanopy has released these capabilities.

Example to try: Illustrative score: Equipment history weight 5 x demonstrated score 3 = 15. Dispatch rules weight 5 x score 1 = 5. A higher total is useful only when scoring is honest and every must-have meets a minimum.
