A stronger payment routine

Get paid without
the chase.

The best time to talk about payment? Before the work begins. Give your customer a clear path from estimate to receipt.

Put it into practice

One job. A clear paper trail.

For a water-heater replacement, agree the scope and any deposit first. Show that deposit on the final invoice, then reconcile the remaining payment to the job.

  1. Step 1 — Set clear payment terms

Tell customers when payment is due and which methods you accept before work starts. For a larger installation, agree any appropriate deposit and progress payments in writing, subject to local requirements.

Example: explain the payment schedule with the HVAC replacement estimate, before ordering equipment.

  2. Step 2 — Send professional invoices

Show the work performed, amount owed, due date, and payment instructions. Include the invoice number, service address, approved extras, and any deposit already paid.

Example: a plumbing invoice separates the completed valve replacement from an optional future repair.

  3. Step 3 — Offer convenient payment options

Consider credit and debit cards, secure online payments, payment links, mobile payment options, and approved customer financing. Confirm eligibility, costs, and your provider agreement.

Example: give a customer a secure processor-hosted link instead of asking them to text card details.

  4. Step 4 — Follow up and reconcile

Use polite reminders after checking the balance. Record payments, match processor settlements, identify outstanding invoices, and keep receipts and business records organized.

Example: the office checks a partial payment before sending a reminder for the remaining HVAC service balance.

Understand your payment options

Stripe payment solutions.

Stripe is a third-party payment technology provider. These capabilities are offered by Stripe; a ServiceCanopy integration has not been verified.

01 / Online

Stripe Payment Links

Share a secure link to a Stripe-hosted payment page. A customer can follow the link and pay through the processor’s supported checkout flow.

Useful when you need a shareable way to collect an online payment.

Read Payment Links documentation (opens in a new tab)

02 / Invoices

Stripe Invoicing

Create hosted invoices to request payment and track their status. Invoice and collection options depend on your Stripe setup and the features you use.

Useful when the customer needs an invoice with a clear amount and payment status.

Read Invoicing documentation (opens in a new tab)
Keep card details in the processor’s secure flow. Never photograph a customer’s payment card or capture raw card numbers or CVV in ordinary forms, job photos, SMS, or application logs. Confirm current pricing and availability directly with Stripe.

Good questions

What else would
you like to know?

Are these resources really free?

Yes. The guides, tools, and downloads on this page are free to use. No email address or ServiceCanopy account is required.

Are Stripe and these financing companies integrated with ServiceCanopy?

No integration or partnership is established by this page. These are third-party options to research independently. ServiceCanopy is in development and does not collect payments or financing applications here.

Can I use the invoice and estimate templates for my business?

Download an editable Word or Excel file, add your own details, and check the calculations, taxes, payment terms, and required local disclosures before use. These administrative worksheets are not legal agreements or technical service checklists.

Does the fee calculator show my actual processing cost?

No. It estimates one payment using the percentage and fixed fee you enter. Actual costs may include other fees, taxes, currency conversion, refunds, or different payment-method pricing. Confirm your own agreement with your processor.

Will copying a reminder send a message?

No. Copy Message only copies the example to your clipboard. Replace the brackets, verify the balance and recipient, and use a permitted communication channel if you choose to send it yourself.
