Write the problem and proposed fix

Identify the service address and what the customer reported. Then state the work being offered, such as replacing a leaking fixture connection or installing a new water heater. If a diagnosis is incomplete, say what the estimate assumes.

Call out included and excluded work

Clarify access, removal, haul-away, patching, restoration, permits, inspection coordination, and concealed-condition work as applicable. Clear exclusions prevent a reasonable customer from thinking unrelated repairs were included.

Record changes and approval

Keep an approved version and use a documented change order if hidden damage or additional work is discovered. The customer should understand the new scope and amount before work proceeds.

Check the totals and terms

The spreadsheet calculates ten line amounts, subtracts a fixed discount, adds a manually entered tax amount, and subtracts recorded payments or deposits. Tax is entered manually because this file does not determine tax rules. A negative balance indicates a credit or overpayment for review. The Word version is manually completed; neither file collects money or creates a digital signature.

Good questions

What else would
you like to know?

Can I use the template for a water heater?

Yes, after adding the actual equipment specification, installation scope, site constraints, and local requirements.

What about unexpected pipe damage?

State assumptions and exclusions, then document and approve changed work separately.

Will it automatically calculate sales tax?

No. Tax amounts and treatment must be reviewed for the actual transaction.
