Record job ID, customer, service address, site contact, appointment window, assigned crew, requested service, equipment or location, and any approved access instructions. Keep emergency and safety information separate from generic notes when it requires special handling.

Leave space for findings, work performed, parts used, photos or attachments references, follow-up needs, and completion status. If work must stop, document the reason and next owner rather than checking "complete".

When appropriate, include customer acknowledgment and an authorization record. A work order is not always an enforceable customer contract. Make sure only agreed work flows to the final invoice.

Use a consistent job number and store the final worksheet with service history. Avoid collecting unnecessary personal information or putting payment-card numbers in notes.
