ESTIMATES
Send an estimate people can understand.
A clear estimate explains the work, the price, and the next step. That helps customers decide with confidence and helps your office stay organized.

Describe the job in everyday language
Identify the location and problem, then explain the proposed service with enough detail to avoid misunderstandings. Separate materials, labor, optional work, and exclusions where it helps the customer understand what is being quoted.

Make the numbers transparent
A well-prepared estimate shows quantities, unit prices or agreed amounts, discounts, applicable taxes when confirmed, and the final proposed total. If a deposit is requested, state how it is applied and when the remaining balance is due.

Record the decision
The customer may accept, request changes, or decline. The business should preserve the version they considered and any written authorization, instead of overwriting the original without history.

Use estimates to plan work
Once a quote is approved, the office needs to know whether parts, permits, staffing, or another visit are required. An estimate should support operations rather than remain an isolated PDF.
Example to try: Instead of "Replace AC - $8,500," list the equipment category, labor scope, removal, disposal, permits or inspection responsibility, exclusions, schedule, and applicable warranties. The amount is illustrative.

A practical checklist
- State included work, exclusions, customer site and expected timing on the estimate.
- Review discounts, deposits and applicable tax with someone responsible for billing.
- Make an approved change order rather than silently editing an accepted version.
- Check what happens if the customer declines only one of several options.
Good questions
What else would
you like to know?
What makes an estimate professional?
Clear scope, site information, dated pricing, terms, exclusions, and a simple approval path.
Can I quote HVAC replacement options?
The proposed product aims to support service estimates, but multiple-option workflow availability needs verification.
Is an estimate the same as a contract?
Not necessarily. Some work requires separate terms, approvals, disclosures, or legally reviewed documents.
