Start with the right customer and address

A plumbing invoice should identify the paying customer, the property where work occurred, the invoice date and number, and a reliable contact for billing questions. Property managers may require a purchase-order number or different remit-to details.

Describe completed work

Use clear descriptions such as "replace leaking under-sink shutoff valve" rather than "miscellaneous plumbing." Include agreed labor, materials, approved changes, and any documented exclusions that matter to the final record.

Review money and credits

Check quantity multiplied by unit amount for each line. Review discounts, taxes, deposits, prior payments, and the remaining balance. Do not send a bill showing the full amount due after a valid deposit was already received.

Send and store carefully

Check the correct billing recipient and avoid including private property access notes or payment card details. Store the final version with the job history for later customer questions.

Check the totals and terms

The spreadsheet calculates ten line amounts, subtracts a fixed discount, adds a manually entered tax amount, and subtracts recorded payments or deposits. Tax is entered manually because this file does not determine tax rules. A negative balance indicates a credit or overpayment for review. The Word version is manually completed; neither file collects money or creates a digital signature.

Before you use the file

Choose your currency and review amounts, local requirements, terms, and approval wording with the appropriate professional. Save each job in authorized storage. Never enter card details or credentials. These are blank administrative worksheets, not legal agreements or safety procedures.

Example to try: Illustrative bill: service visit $125 plus authorized valve replacement $180 gives $305 before verified taxes, fees or payments. This is an example, not suggested market pricing.
