INVOICING
A clear bill at the end of the job.
Completed work deserves a clean invoice. Customers should understand what they are paying for, and the office should know what is still owed.

Build the bill from actual work
Include the customer's name, service address, date, invoice number, work description, amounts, and approved adjustments. Where possible, billing should use work already recorded on the job rather than asking staff to type everything again.

Keep totals and payments straight
An invoice may include a deposit, a partial payment, a refund, or credit. The total owed is different from the total job amount. Staff need to see both and understand whether a balance remains.

Help customers pay without confusion
A link, payment instructions, due date, and contact for billing questions can make an invoice easier to act on. Never imply that an invoice is paid until a payment is confirmed and reconciled.

Make follow-up respectful
Payment reminders should be accurate and appropriate to the customer. Do not send repeated messages after a payment posts, and do not treat a disputed charge as ordinary past-due debt without review.
Example to try: A plumbing repair totals $620 and the customer already paid a $150 deposit. The invoice needs to show both amounts and a $470 remaining balance, subject to accurate tax and fees.

A practical checklist
- Compare completed work and approved estimate against actual invoice line items.
- Show deposit, refund, credit and partial-payment states separately.
- Verify invoice numbering, totals, permissions and accurate downloadable documents.
- Test how a failed payment affects the amount still owed.
