Use fields for invoice number and date, HVAC business contact, customer and service address, equipment or job description, itemized work, quantities, rates, amounts, total, payments or deposits, and balance due. A service address may differ from the customer's billing address.

Start with the completed work record. Write a readable description such as "diagnosed failed blower capacitor and replaced approved component." Add agreed labor, materials, and other authorized items. Check any applicable tax and the invoice due date against your business rules.

If a quote changed, include only work the customer authorized. Save the final document with the job record. Do not include unnecessary access codes, personal notes, or sensitive payment details in the customer copy.

The spreadsheet calculates ten line amounts, subtracts a fixed discount, adds a manually entered tax amount, and subtracts recorded payments or deposits. Tax is entered manually because this file does not determine tax rules. A negative balance indicates a credit or overpayment for review. The Word version is manually completed; neither file collects money or creates a digital signature.
